Finding just the right accommodation or services you need can take time. Phone calls and e-mails need to be sent and replied to, lots of information needs to obtained and filtered. In order for us to offer the best service we ask for a £25.00 consultation fee to cover our costs. You may only want a consultation so that you have information to book your own holiday, therefore you will only be charged £25.00. If you wish to go ahead and book one of our suggestions with us, this £25.00 will come OFF your holiday price. We will need to receive your signed consent to allow us to search on your behalf, and we will bill you for £25.00 with your results of our search. We are not 'signed up' with any providers and will not direct you to any providers who do not meet your requirements.
In order to obtain the right venue or resort for you we will ask some questions or ask you to fill in an enquiry form. This only serves to help us in our search and to ask the right questions for you, is not intended to be intrusive and will only be shared with the service providers as far as is necessary to ensure your comfort or safety.
Because we search for the right holiday provider for you, Terms and Conditions will vary with the service provider. This will include cancellation terms and other conditions of the principal concerned. We will supply you with the information to enable you to choose a holiday and full terms and conditions by request.
Booking and Handling - Arranging your holiday.
Rate = The cost of your holiday elements such as accommodation, flight, transfers and hires, plus our commission of 12% where Travel Agent's commission is not offered by suppliers.
Any quote given to you for a holiday will include this commission.
Your contract:
For any bookings made, the lead person making the booking must be over 18 years of age and authorised to book for you. The lead person will be required to sign the booking form on behalf of your party. This person is responsible for making all payments due to us. Once we have accepted deposits or full payment a contract is formed between the service provider and your party leader who you have authorised to act for you
Payments:
Holiday Service providers may make changes within the scope of their terms and these will have to be passed on to you.
Quotes made to you on the basis of an on-line provider’s quote will only last as long as the provider holds that price. We will tell you if there is a cut-off point for booking. If a delay in our receiving your payment occurs and a deadline is exceeded we will have to pass on any increased difference in price to you. If the price falls by more than 2% after you have paid us but before we secure your booking, we will refund the amount less an admin charge.
Protection:
Package holidays which include a flight are only covered by ATOL protection where charter flights are purchased. Low-cost, no-frills or internet bookings with scheduled airlines where we send you your flight ticket or confirmation document within 24 hours are not covered by ATOL. See www.atol.com for more information. We are negotiating our own insurance against scheduled airline failure and cannot provide this service yet.
We act as agents for ATOL holders.
Bookings made with some companies, where KatAlan Travels only acts as agents for the tour operator, will produce documents which show their ATOL number and any booking reference. You will receive these with your travel documents.
Most payments received will immediately be paid to the supplier by on-line booking. Where we have to hold payments for a short time, a trust account operates to protect your money.
Insurance:
It is important to purchase travel insurance, for cancellation, curtailment, third party liability and possible medical costs. We cannot be responsible for you if you do not have a relevant insurance policy. It may be necessary to undergo medical screening if insurance companies require it, therefore you may feel more comfortable arranging your own insurance.
Special requests:
Any special requests for services, hire of equipment, carriage of equipment, accessibility, room arrangements etc. should be expressed as soon as possible. We will try to meet these requests and negotiate for them on your behalf but we cannot guarantee to meet them. We cannot be held responsible for a lack of the right service if you do not tell us what you need.
Cancellations:
Depending upon the terms of your provider, it is necessary for the lead person or their representative to inform us as soon as your holiday may be in jeopardy. Bookings should not be made while you or a member of your party is ill, clients must be fit to travel at the time of booking. Some cancellation insurance may require a Doctor’s letter stating fitness to travel at the time of booking so that a proper claim can be made if you become ill before you travel and need to cancel your holiday. Some low-cost airlines do not offer refunds and you will need to recoup your costs through your insurance.
Changing your holiday – your change:
We will try to accommodate you as far as possible. The ability to change arrangements will be determined largely by the terms offered by your provider. Changes will incur a charge of £25 for each name or detail change and if we have to make new arrangements they will be at the prices available on that day not the day the holiday was booked. Please note, discounts for full occupancy of rooms may not be carried through if your changes result in fewer people sharing. The price may go up and this does not constitute a cancellation charge.
Changing your holiday –our change:
We will not make any changes without consulting you. As soon as we know of a problem with a carrier or principal we will contact you. We will negotiate with them to ensure changes are minimal. Depending upon their terms, you may be able to choose another holiday or accept cancellation and full refund. Many carriers have compensation schemes.
Our liability:
Subject to these booking conditions we accept liability for any failure of proper provision, error or omission on our part. We cannot be responsible for your errors or omissions or a third party not connected with your holiday provision which were unforeseen or unavoidable. Our professional insurance includes cover for us to assist in providing emergency assistance to you in the case of death or bodily injury of a member of your party while pursuing activities not arranged by us. Our cover is extended to include cover as defined in’ The Package Holiday, Package Tour and Package Travel Regulations 1992’.
